Information about the YZ Designer Google Drive Integration

Authentication of YZ Designer for Google Drive Access

YZ Designer offers the ability to browse and download image files from a Google Drive account of your choosing, right inside the application with the sole ability of dragging a specific file onto a picture box on the page.

Authentication to your Google Drive account is performed using the OAuth 2.0 mechanism used by Google. This mechanism allows YZ Designer to authenticate to your Google Drive account without Yearbooks Zone ever seeing/receiving or knowing your Google login credentials, via the access consent screen. The consent screen will display further information about the specific access requested.

More information about OAuth is available here: https://en.wikipedia.org/wiki/OAuth

YZ Designer data access in a Google Drive account with granted access

Once YZ Designer is granted permission to access your Google Drive files, it will not be able to remove/write/update any information or files: access is granted on a read-only basis with the ability to download a file specified by you via dragging and dropping of that specific file on a picture box on the page. Furthermore, YZ Designer will restrict browsing and downloading to just image-based file types: JPG, PNG, HEIC while all other file types are not retrieved.

Google Drive images drag and drop functionality

Once access is granted, you will be able to browse the folders and files available in your Google Drive account. You will only see the images (JPG, PNG, HEIC) from each folder. YZ Designer does not retrieve any other file types when browsing a specific folder.

When you decide to drag an image from a folder onto a page, that image is automatically downloaded to your computer in the background, temporarily stored in memory, and then automatically uploaded to the Yearbooks Zone storage servers just like any file you import from your device. Once the automatic download/upload sequence is completed, the copy of the downloaded file is retrieved from the Yearbooks Zone server and added to the picture box on the page. During this process, a copy of your Google Drive file is created on the Yearbooks Zone server. Deleting or modifying this copy will not update the original file from your Google Drive account. Deleting a used image in YZ Designer, from your Google Drive, will not delete the original file in the Google Drive.

Google Drive Data Retention And Deletion

Images imported from Google Drive are stored on the Yearbooks Zone servers for the duration of the academic year. Once the academic year is finished and the yearbooks delivered to the school, all images are deleted from the Yearbooks Zone servers. The original files in your Google Drive account are not affected by this process.
